Integration

Schedule Zoom meetings directly from the Avento Planner — no switching apps, no copy-pasting links.

Overview

The Avento AI Zoom integration lets employees schedule Zoom meetings directly from the Avento Planner without switching to the Zoom application. Meetings created in Avento are automatically pushed to your connected Zoom account, and the join link is added to the calendar event.

What this app does
  • Creates Zoom meetings on your behalf when you schedule events in Avento
  • Generates and stores Zoom join URLs and host start URLs in the calendar event
  • Links can be shared with meeting participants and in team chat
What this app does NOT do
  • Does not run inside the Zoom client
  • Does not access meeting recordings, chats, or transcripts
  • Does not make outbound calls or join meetings on your behalf

Prerequisites

  • An active Avento AI employee account (request access from your company administrator)
  • A Zoom account (Free, Pro, Business, or Enterprise — all supported)
  • A modern web browser with JavaScript enabled
  • Permission from your Zoom account owner to install third-party apps (if applicable)

Adding the App

Follow these steps to install and connect the Zoom integration to your Avento account.

Method 1: From the Avento Planner

  1. Sign in to Avento at https://app.avento.ai using your employee credentials.
  2. From the left sidebar, click Planner.
  3. In the top-right corner, click the settings (gear) icon.
  4. In the Accounts dropdown, find Zoom and click the Connect button.
  5. You will be redirected to Zoom's authorization page. Sign in to your Zoom account and click Allow to grant Avento permission.
  6. You will be redirected back to Avento. The Zoom integration will now show as Connected.

Method 2: From the Direct Landing Page

  1. Visit https://admin.avento.ai/integrations/zoom.
  2. If not signed in, you will be prompted to log in to your Avento account first.
  3. Click Connect Zoom Account.
  4. Authorize the app on Zoom's OAuth page.
  5. You will be redirected to a confirmation page once the connection is established.

Tip: Adding the app is a one-time process. Once connected, your Zoom account stays linked until you explicitly disconnect it.

Adding the App — Troubleshooting

If you encounter problems while adding the app, see the Troubleshooting section below.

Usage

Once connected, you can use the following features.

Feature 1: Create a Zoom Meeting from the Planner

Use case: Schedule a Zoom meeting and have it appear on your Avento calendar with a one-click join link, without leaving Avento.

Steps:

  1. Open the Planner from the Avento sidebar.
  2. Click on the date and time slot where you want to schedule the meeting.
  3. In the Create Event panel, select the Meeting tab.
  4. Enter a meeting title, set the start and end times.
  5. Under Add Meeting Call, select Zoom.
  6. (Optional) Add participants, description, location, or a reminder.
  7. Click Save. The Zoom meeting is created on your Zoom account, and the join link is attached to the event.

Prerequisites: Zoom account must be connected (see Adding the App).

Feature 2: View and Join Scheduled Meetings

Use case: See all your upcoming Zoom meetings on the Avento calendar and join them with a single click.

Steps:

  1. Open the Planner.
  2. Click any meeting event on the calendar to view the details.
  3. Click the Join Meeting button to open Zoom and join the call.

Prerequisites: The meeting must have been created via the Avento + Zoom integration.

Feature 3: Share a Meeting Link in Chat

Use case: Quickly share a Zoom meeting link with team members through Avento's built-in chat.

Steps:

  1. Open the meeting from the Planner.
  2. Click Share in Chat.
  3. Select the chat group or person to share with. The Zoom join link is sent as a message.

Prerequisites: Zoom meeting created in Avento; chat group or contact you have permission to message.

Removing the App

You can disconnect the Zoom integration at any time. There are two ways to do this:

Method 1: Disconnect from within Avento

  1. Sign in to Avento at https://app.avento.ai.
  2. Click Planner in the sidebar.
  3. Click the settings (gear) icon in the top-right corner.
  4. Find Zoom in the Accounts list.
  5. Click Disconnect next to Zoom.
  6. Confirm the disconnection. Your Zoom OAuth tokens will be revoked and deleted from Avento immediately.

Method 2: Remove via Zoom Marketplace

  1. Sign in to the Zoom Marketplace at marketplace.zoom.us.
  2. Click Manage in the top right, then Added Apps.
  3. Find Avento AI in the list of installed apps.
  4. Click Remove and confirm.
  5. Zoom will revoke all OAuth tokens. Avento will detect the disconnection on the next API call and clean up the stored token.

Implications of De-authorization

  • You will no longer be able to create new Zoom meetings from Avento.
  • Existing scheduled meetings on your Zoom account are not deleted from Zoom — they remain accessible via the Zoom app or web portal.
  • Join links stored in past Avento calendar events remain visible but may not function once tokens are revoked.

How Your Data Is Removed

When you disconnect, the following data is permanently deleted from Avento's database within 24 hours:

  • OAuth access token and refresh token
  • Your Zoom user ID and Zoom account email
  • Token expiry timestamp

Meeting records (titles, dates, participants) are retained in Avento as part of your calendar history, but the Zoom join URLs become inactive once tokens are revoked.

Security Measures

  • All data in transit between Avento and Zoom is encrypted using TLS 1.2 or higher.
  • OAuth tokens are stored encrypted at rest in our database.
  • Avento does not share your Zoom data with third parties.
  • Tokens are auto-refreshed in the background; you do not need to re-authorize regularly.

Troubleshooting

"Application not found" error during connect

The Zoom app may not be activated yet. If you encounter this error, please contact avento.ai/contact-us.

Browser pop-up blocked

The connect flow opens Zoom's authorization page in a new tab. If your browser blocks pop-ups, please allow them for app.avento.ai and try again.

Connection times out

If the integration appears stuck after authorization, refresh the Planner page. The connection status updates automatically.

Meeting not appearing in Zoom

If a Zoom meeting created in Avento doesn't appear in your Zoom account, verify the integration is still connected:

  1. Go to Planner → Settings.
  2. Check that Zoom shows Connected.
  3. If it shows Not connected, reconnect by following Adding the App.

"Token expired" or repeated authorization prompts

This may happen if your Zoom password was changed or your Zoom session was forcefully revoked. Disconnect and reconnect the integration following the steps in Removing the App and then Adding the App.
